Office Specialist to Commanding Officer – 2nd Precinct
Job Description:
The Chesapeake Police Department is seeking a self-motivated individual that has a passion for serving the public, supporting public safety, and providing extraordinary customer service while supporting the operations of the police department’s Second Precinct. Primary responsibilities include assisting the commanding officer of the precinct in a wide range of administrative support functions.
Related duties include but are not limited to:
Assisting the commanding officer and other supervisory staff with managing day-to-day operations of the Second Precinct. Greets citizens, visitors, employees, and volunteers in person, by phone, or by email. Provides varied information to both the public and staff related to departmental responsibilities. Applies customer service techniques, uses tact, and maintains professionalism in all communications with the public, employees, and volunteers. Assists with the coordination of community outreach programs and events.
Coordinates monthly meetings with members of the Second Precinct’s Citizen’s Advisory group. Manages all Customer Service Requests (CSR’s) received by the police department for the area of the Second Precinct, disseminates the information and provides appropriate responses and follow-up.
May provide assistance at department-wide special events and programs as needed. May provide administrative support by attending meetings and special events, taking minutes, and completing other related clerical tasks.
Develops and manages databases, departmental logs, and records. Prepares correspondence to include memos, letters, and proposals, and proofreads documents.
Completes various reports and forms based on information and records received. Compiles data and prepares specialized reports. Reviews and compiles basic crime data and assists with the preparation of the monthly CompStat report for the Second Precinct as well as other statistical reports as needed.
Maintains, orders and distributes office supply inventory and assists with mail distribution.
Makes appointments, schedules meetings, and updates associated calendars.
Assists with special projects as needed and performs other related duties as assigned.
REQUIRED QUALIFICATIONS:
VOCATIONAL/EDUCATIONAL REQUIREMENT:
Requires a high school diploma or GED and any combination of education and experience equivalent to satisfactory completion of one year of college education in word processing, secretarial skills, or a closely related field.
