Administrative Assistant II
Assists the department head with compiling and drafting reports, compiling and gathering data, and drafting correspondence to include powerpoint presentations, letters to council, and other memoranda requiring a high degree of detail. Creates and handles a filing system for maintaining and keeping track of key information. Maintains a listing of council requests for dissemination to staff. Processes vendor invoices for payment, tracks budget, compiles monthly, annual and special reports. Processes requests for reports, supervises the preparation and maintenance of personnel records. Answers phones, receives emails, and answers customer inquiries. Sets up, monitors, and maintains purchase orders, handling all paperwork for the division heads approval. Prepares contracts, handles interdepartmental transfers, and personnel action forms for the department head’s signature. Attends community events and meetings delegated toward promoting the community. Serves as point of contact resolving supply order issues and answering questions regarding on-line ordering. May maintain department head’s business calendar and schedule meetings. Handles Freedom of Information Act requests with limited supervision creating an online tracking system to monitor such requests. Requires an Associate’s Degree or specialized courses/training equivalent to satisfactory completion of two years of college in Public or Business Administration.
